The Senior Administrative Assistant will support the legal and patent functions based on the West Coast, including generating and managing contracts, processing patent filings and correspondence, assisting the attorneys and paralegal, and performing general administrative tasks (e.g., processing of expenses, external legal fees and patent costs). The global portfolio that is managed from the West Coast is global, as are many of the contracts.
She/he will:
• Generate a wide variety of legal agreements (mostly from existing templates) requested by clients
• Respond to patent office actions and ensure that they are processed appropriately (for example, by referring them in a timely manner to the applicable attorney)
• Prioritize requests as they are received
• Answer questions from clients and resolve problems related to agreements and compliance issues
• Be knowledgeable about, and ensure compliance with, Company policies and procedures applicable to Bayer’s contract and patent management systems
• Organize, maintain and create files, records and archiving systems to facilitate the timely retrieval of information
• Process payments to vendors and others, and expense claims from members of the department
• Provide training to clients on the company’s processes relating to patents and contracts
• A high school diploma with 8+ years relevant experience or Associate’s degree with 4+years relevant experience or equivalent
• Familiarity with document management systems, MS Word and Excel
• Previously demonstrated: (a) Ability to maintain the confidentiality of sensitive matters; (b) Attention to detail; (c) Organizational skills; (d) Comfortable dealing with senior management and ability to articulate issues clearly and concisely.
